Currently hiring an Administrative Specialist to join our full-time, year-round Administrative Team.

The Administrative Specialist provides a wide range of administrative support, coordination, and project management to the Leon County Supervisor of Elections Office (SOE). This position works under the supervision of the Human Resources Coordinator to support human resources, accounting, training, scheduling, clerical, and compliance monitoring efforts for the SOE. The office is home to approximately twenty-five, year-round staff members supplemented during election years by dozens of temporary, seasonal staff. The position requires great attention to detail, outstanding communication skills, comfort working with a wide variety of people, and proficiency with data and spreadsheets.

Human Resources Responsibilities:
Assist with seasonal hiring and recruitment efforts including organizing and reviewing incoming applications, conducting initial applicant screenings and interviews, and coordinating correspondence with job candidates.
Support processing of new hire paperwork and active employee personnel records.
Support and track adherence to state and federal employment requirements.
Create and maintain training and new hire orientation materials.

Administrative and Accounting Responsibilities:
Work alongside the Human Resources Coordinator to track continuing education, certification, and renewal requirements for staff.
Book and coordinate training and travel arrangements for staff; Organize and prepare travel reimbursement expense forms needed for processing.
Work alongside the Accounting Specialist to support the annual budget process and track incurred expenses throughout the fiscal year.
Assist in monitoring all staff timesheets for approvals according to payroll schedules and reconcile staff hours in accounting system prior to final payroll approval by Accounting Specialist.
Track and collect receivables, make bank deposits, and manage petty cash activity.
Serve as a representative from the SOE Administrative Team for other Leon County agencies, such as Human Resources, Clerk Finance, and Risk Management.
Manage and place orders for office supply inventory, staff business cards, nametags, and logo apparel for election cycle needs.

The Administrative Specialist must be able to work independently under pressure, maintain flexible (and sometimes overtime) hours during election cycles, and complete tasks in a timely and organized manner.

This role is ideal for a dynamic, team-player who has the enthusiasm and communication skills needed to work with a variety of people and teams. A meticulous eye for detail and commitment to integrity and confidentiality is key.

Must be able to lift up to thirty pounds since moving physical files and records may be required. Must possess an insurable driver’s license and have access to reliable transportation. Some out-of-town travel may be required for training and election-industry certification opportunities.
